Clubhouse Manager

Job Description

The Clubhouse Manager is responsible for overseeing the daily operations of the clubhouse, including food and beverage service, events, and the overall member experience. This hands-on leader is dedicated to maintaining a polished, welcoming environment while coordinating cross-departmental efforts to ensure excellence at every level.

The Clubhouse Manager enhances day-to-day operations by establishing and maintaining key operating systems, streamlining communication, and setting a consistent standard for clarity and execution. In addition to ensuring exceptional service and food quality, this role is instrumental in mentoring and developing team members, fostering a culture of professionalism, accountability, and continuous improvement.

Core Responsibilities:

Leadership & Team Management

● Lead and support daily clubhouse operations including dining rooms, bars, halfway house, poolside service, 19th hole, and special events

● Supervise and coach all service managers, supervisors, porters, and hourly front-of-house staff

● Foster a respectful, team-oriented culture grounded in professionalism, accountability, and communication

● Coordinate and lead daily staff briefings to align on service flow, events, and expectations

● Ensure staff training is current and consistent, particularly in service standards, fine dining etiquette, and member engagement

● Enforce grooming and appearance standards

Personnel & Team Development

● Recruit, interview, and hire qualified candidates in coordination with HR and club leadership

● Lead onboarding efforts for new hires, ensuring timely completion of training and compliance documentation

● Create, maintain, and implement training programs, manuals, and checklists that reflect service standards, operating procedures, and department goals

● Provide ongoing coaching and development to all front-of-house staff, including servers, bartenders, porters, and supervisors

● Conduct performance evaluations and administer progressive discipline in partnership with HR when needed

● Monitor staff morale, communication, and engagement to ensure a positive and professional team culture

● Ensure scheduling aligns with business needs while maintaining compliance with labor laws and internal policies

● Maintain accurate records of training, certifications, timekeeping, and performance documentation

● Enforce grooming, safety, and service standards consistently across all shifts and location

Member Experience & Service Excellence

● Serve as a visible and engaged leader during peak periods, events, and weekends

● Build strong relationships with members; anticipate preferences and follow up on feedback

● Address and resolve member concerns diplomatically and promptly

● Collaborate with leadership and department heads to execute engaging member events and holiday functions

● Ensure all areas maintain the highest standards of cleanliness, service, and attention to detail

Operational Oversight & Facility Management

● Ensure smooth execution of a la carte service, banquet events, and club logistics

● Maintain a proactive presence across all service areas, observing operations and addressing issues in real-time

● Monitor staffing levels to ensure coverage aligns with business needs

● Ensure clubhouse facilities and equipment are clean, safe, and well-maintained

● Conduct regular inspections and coordinate preventive maintenance with relevant departments

Financial Oversight & Reporting

● Participate in department budget planning and labor forecasting

● Track and analyze labor, food, beverage, and supply costs; implement cost-control strategies

● Collaborate on sales targets and financial performance improvements

● Follow cash handling, reconciliation, and payroll procedures

● Oversee timekeeping, scheduling, and payroll submissions for clubhouse staff

Beverage & Menu Support

● Collaborate with the Executive Chef on seasonal menus and BEO execution

● Support the curation of cocktail, wine, and beverage programs

● Stay up to date on dining and beverage trends relevant to a private club environment

Private Events & Banquet Management

● Partner with the Events team and Culinary leadership to coordinate and execute weddings, golf tournaments, and other member or outside events

● Ensure flawless execution of BEOs, event flow, and guest experience

● Provide support in setup, staffing, and real-time adjustments to ensure smooth event service

Compliance & Safety

● Enforce health, safety, and sanitation policies in accordance with club and legal standards

● Maintain up-to-date alcohol service and food safety certifications for applicable team members

● Oversee responsible alcohol service practices and uphold licensing requirements

Technology & Systems Management

● Use POS, inventory, and labor management systems (e.g., Jonas, Clubessential, Tripleseat) for operational efficiency

● Support team use of scheduling tools, reservations, and feedback systems

● Leverage reporting tools to identify trends and optimize operations

Team Expectations

● Be part of a team. Work together and be attentive to each other’s needs on a daily basis.

● Maintain a clean and sanitary work environment. Keep all areas clean and organized at all times. Follow all Department of Health (DOH) standards.

● Work in a safe manner and abide by Workplace Health & Safety standards and Food & Safety Hygiene standards.

● Responsible for maintaining a Safe & Comfortable work environment for all team members. Ensure all health and safety protocols are implemented and maintained. Guarantee any health procedures are executed as needed.

● Maintain a gracious, pleasant and friendly attitude, while contributing to a teamwork-based work environment; assisting fellow team members as situations arise. Displays professionalism in all forms of communication.

● Take pride in your appearance while adhering to the Dress & Appearance Policy.

● Be actively involved and visibly present in the daily operation for not only our guests, but also your associates.

● Adhere to the company policies regarding accident and incident reporting procedures.

● Adhere to the company policies regarding Coaching and Disciplinary procedures.

Position Type/Expected Hours of Work

This position is exempt and expected to work 40 to 50 hours a week to fulfill responsibilities during the summer season.

Work Environment

This job operates in a professional office environment and on the premises throughout the clubhouse and outdoor facilities as needed.

Candidate Qualifications

● Certified Club Manager (CCM) designation is a plus.

Educational Requirements

Education and Experience

Bachelor’s degree from a four-year college or university; Hospitality Management major preferred. Six or more years of related experience with three or more years as a manager.
