Stock Farm is located in the heart of the Bitterroot Valley in Western Montana. Nestled in the hills above the city of Hamilton, is a masterpiece that evolved from the vision of Charles Schwab and his passion for golf, shooting, and fly-fishing. Golf Course architect and designer, Tom Fazio, calls Stock Farm Club “The Augusta of the West.”

Stock Farm Club boasts one of the longest outdoor seasons in Montana, with golf available to play from April through November. Some of the country’s best skiing is easily accessible in all directions from the club. World-class fly-fishing throughout the Bitterroot Valley and Montana makes this a destination spot for all levels of anglers. A guided trip down the Bitterroot River makes for unforgettable memories.

Job Description

Summary

Work closely with the General Manager. Responsible for operation of all aspects of the club in the absence of the General Manager and perform specific tasks as requested by the General Manager.

Candidate Qualifications

Essential Duties & Responsibilities

  • Oversees daily club operations of all departments, ensuring cohesiveness of activities in meeting stated goals and objectives.
  • Serves as a club representative within the community in conjunction with the General Manager.
  • Serves as key participant of the Executive Team and engages in strategic and operational planning for seasonal and year-round activities.  Assists the General Manager in developing and implementing long-range (strategic) and annual (business) plans, operating reports, forecasts, and budgets.
  • Supervises and directs the work of department heads, functions as an administrative link between all departments.
  • Approves budgets, staffing and general operating procedures and other plans for operational departments to include Food & Beverage, Culinary/Kitchen, Lodging and Housekeeping, Facilities Maintenance, Shooting Center, and Member Services.  
  • Monitors the budget and directs corrective action procedures as necessary to help assure that budget goals.
  • are attained.  Monitors internal cost control procedures; evaluates scheduled and actual labor hours and costs.
  • Plans and coordinates training and professional development programs for himself or herself and club personnel.
  • Monitors safety conditions and employees’ conformance with safety procedures; updates emergency plans and procedures and assures that effective training for these programs is conducted in all departments. Serves as chair of safety committee.
  • Assists in the planning of facility improvements, remodeling, construction, and repair, and interacts with
  • Participates in ongoing facility inspections throughout the club to assure that cleanliness, maintenance, safety and other standards are consistently attained.
  • Maintains contact with members and helps to assure maximum member satisfaction.
  • Interacts with members answering questions, solving problems, overseeing services and cleanliness and showing the club facilities to visitors.
  • Serves as an ad hoc member of appropriate club committees.
  • Receives and resolves complaints from club members, guests, and employees.
  • Assures that the club’s preventive maintenance and energy management programs and Master Plan are on schedule and in use.
  • May serve as a departmental manager in that manager’s absence.
  • Attends management and staff meetings as scheduled.
  • Counsels with other managers and employees about employee grievances and complaints; directs problem correction where possible.
  • Research new products and develop an analysis of their costs and benefits.
  • Reviews all accidents and works with appropriate departments and Human Resources in completing accident reports.
  • Advises General Manager about the development and revision of club by-laws and policies; consistently enforces all policies.
  • Works with Human Resources Department staff to develop long-term staffing needs for the clubhouse department.
  • Works with department heads to plan professional development programs for applicable staff.
  • Ensures that all legal requirements are consistently followed.
  • May perform clubhouse opening and closing duties, including those related to security.
  • Assists with management and operation of employee housing.
  • Monitors employee dress codes and member dress codes as applicable.
  • Conducts training and other meetings with department staff.
  • Completes other appropriate assignments made by the General Manager.
  • Perform other duties as assigned.

 

Knowledge, Skills & Abilities

  • Must attend conferences, workshops and meetings (e.g. CMAA World Conference and Club Business Expo or chapter meetings) as directed.
  • Knowledge of management requirements for housekeeping, engineering, maintenance, and repair and security functions at the club.
  • Demonstrated ability for analytical skills, attention to detail, organizational and project management skills.
  • Ability to function as club’s general manager during his/her absence.
  • Ability to develop and maintain awareness of occupational hazards and safety precautions; skilled in following safety practices and recognizing hazards.
  • Ability to maintain membership in CMAA and other professional associations.
  • Ability to communicate effectively orally/verbally with diverse groups of individuals and age ranges.
  • Ability to be flexible and adaptable in highly fluid and dynamic environment.
  • Ability to work with a team and interact with others in a professional and courteous manner.
  • Ability to maintain the confidentiality of Stock Farm Club and member and guest information.
  • Ability to maintain professionalism and image of the Stock Farm Club.

 

Additional Requirements & Documentation 

  • Certified Club Manager (CCM) designation through CMAA or in current pursuit of this designation desirable.
  • Ability to be insured by Club’s auto insurance provider and maintain valid driver’s license in accordance with the laws of the State of Montana.
  • Ability to work evenings, weekends, and holidays as required.
  • Ability to work hours other than 8 a.m. to 5 p.m. as required.
  • Ability to perform same-day travel within local geographic region.

 

Environmental & Physical Conditions

Normal office work environment, mostly sedentary in nature. May involve walking; standing; remaining stationary for long periods of time; pulling and pushing; kneeling, stooping, and bending; and safely lifting and carrying items up to 40 pounds. Work involves extensive telephone usage and repetitive hand/wrist/finger motions while using computer and similar hardware. Moderate levels of noise in work environment.

Educational Requirements

Minimum Education & Experience

  • Bachelor’s degree from a four-year college or university, Hospitality Management major preferred, or 
  • demonstrated work experience in the hospitality or private club industry to perform the roles of the position.

Preferred:

  • 6 or more years of related experience with three or more years as a manager.
  • 4 or more years of related experience in a private club or hospitality industry.
  • Demonstrated experience in managing complex capital projects.
  • Demonstrated experience working with volunteer committees.
