Assistant Controller

Job Description

The Assistant Controller supports the financial operations of the Club by performing key accounting functions and maintaining accurate financial records. This position plays an active role in both office-based and on-site operations, including interacting with various departments across the Club to collect documentation and support inventory oversight.

Essential Duties and Responsibilities:

Accounting & Finance:

  • Prepare, process, and reconcile weekly payroll in coordination with department heads.
  • Responsible for accounts payable & receivable including weekly check runs.
  • Post and apply member payments accurately with help from the front office.
  • Provide excellent service to the membership by responding to and addressing members financial inquiries and concerns in a timely manner.
  • Assist with month-end and year-end closing procedures.
  • Reconcile bank statements, credit card activity, and other general ledger accounts alongside the Controller.
  • Support the Controller in preparing financial reports and analyses as needed.

Clubhouse Operations Support:

  • Knowledgeable of all aspects of the club and daily club operation.
  • Conduct daily/weekly rounds to designated areas of the Club (e.g., front office, gym, Turkish bath, pro shop) to collect member chits and other transactional documentation.
  • Maintain strong interdepartmental communication to ensure a timely and accurate collection of accounting-related paperwork.
  • Observe inventory levels of beverage inventory and pro-shop inventory and assist with reconciliation efforts to ensure accuracy of financial reporting.

General Duties:

  • Provide administrative support to the Controller and Accounting Department.
  • Respond to member and staff inquiries regarding members’ payments and payroll matters in a professional and timely manner.
  • Maintain confidentiality of sensitive financial and payroll information.
  • Participate in ongoing efforts to improve accounting procedures and internal controls.

Candidate Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field preferred (CPA a plus).
  • 3-5 years of accounting or bookkeeping experience; hospitality or private club experience a plus.
  • Familiarity with payroll processing and general ledger systems.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Excel and accounting software (e.g. NorthStar, Jonas, or similar).
  • Ability to work on site, 5 days a week, 8 hours a day.
  • Must be able to move throughout the facility and push or pull objects weighing up to 50 pounds, with or without reasonable accommodation.
  • Excellent interpersonal and communication skills – a team player.
  • Knowledge of a Unionized workplace is preferred but not necessary to apply.

Educational Requirements

Bachelor’s degree in Accounting, Finance, or related field preferred (CPA a plus).
