Brief Job Description

The Guest Services Porter will assist all operational departments with the smooth and efficient running of Tara Iti Golf Club. He/she will complete a variety of operational and hands-on tasks as and when required, performing all tasks to the best of their ability to ensure maximum member/guest satisfaction. To provide an unparalleled experience for members and guests, exceeding their expectations and promoting the future growth and reputation of the Club by displaying superior service, job knowledge, hospitality intuition and attention to detail. To ensure all required standards are met.

PORTER

• Clean exteriors of the buildings, including washing windows, scrubbing down exteriors and exterior furniture and leaf-blowing verandas and paths. Some interior cleaning may be required from time to time.

• Maintain and keep tidy all external furniture, putting out and bringing in soft furnishings daily.

• Responsible for the timely delivery of luggage, bags and golf clubs to/from rooms/caddie shack/clubhouse for arrivals and/or departures.

• Keep the entertaining areas of the garden tidy and assist with garden set-up for events.

• Park guest vehicles on arrival and retrieve them for departure.

• Pick up / drop off guests to/from the helipad.

• Run any errands (both on and off property) for all operations staff.

• Be the driver for members and guests as required (both on and off property), transporting member/guests and / or their bags as required.

• Assist in the general maintenance and cleaning the club’s fleet of vehicles and carts, ensuring that they are always clean and ready for club use.

• Assist with the organisation of, and accompany guests on outings and activities, ensuring that all requirements are met (both onsite and offsite).

• Assist other club departments when required with heavy lifting, set up and breakdown of special event setups and other related requirements.

• Ensure that the wood piles are well stocked and tidy at all times.

• Remove and empty rubbish bins into the large bins for removal from the property.

• Assist the Maintenance Manager in ensuring that the club’s buildings and fittings are kept in immaculate condition and are maintained in accordance with the policies and procedures of the club.

• Any other duties the employer may reasonably require.

GUEST SERVICES

• Be fully conversant with the day-to-day running and the daily procedures and tasks required of the guest relations team.

• Go out of your way to assist members and guests, anticipating their needs and creating an unparalleled experience. Engage with members/guests, giving them your full attention.

• Ensure that all tasks are completed with attention to detail and that appropriate checks are in place to minimise the risk of any errors.

• Respond to all member/guest questions and queries regarding the property generally, its facilities and all activities available. Maintain extensive and up-to-date personal knowledge of all activities, their availability and pricing, so that you can confidently advise and recommend activities for members/guests. Where we do not have existing knowledge on a requested activity, seek out the appropriate information and present it to the member/guest.

• Assist with special events – set up and logistics.

• Assist with check-in / check-out procedures.

• Clean and set up / pack down clubhouse, fitness tent, spa tent and concierge building (dependent on shift).

• Meet and greet guests as they arrive for / depart from dinner/breakfast. Be sure to impart any necessary information/instructions for the following day.

• Alert other departments of guest location and maintain communication with housekeeping and dining room throughout the morning/evening (dependent on shift).

• Maintain an extensive personal knowledge of members' / regular guest’s personal preferences and previous stays/activities so that you can personalise their experience.

• Leave comprehensive handover notes of guest requests/activities between shifts

Candidate Qualifications

Relevant Qualifications & Experience:

• Current Full Driver’s Licence.

• Experience in the high-end, luxury service industry.

Personal Attributes:

• Excellent organisational and time management skills;

• Fluent English – excellent written and verbal communication and interpersonal communication skills;

• Superb guest service and teamwork;

• Ability to analyse and solve problems; efficiently handle multiple duties under pressure with minimal supervision.

• Ability to work flexible hours as required including nights/weekends.

• A positive, “can-do” attitude, and a hands-on operator who is proactive, reliable and hardworking.

• Good physical condition - this position requires the lifting of heavy objects and manoeuvring large equipment and machinery, as well as the frequent use of ladders.

• Thorough knowledge and understanding of the travel and hospitality industry; and

• Full understanding of required sequence and standards for a high-end operation.
