Assistant Director of Finance

Job Description

  • Assists and supports the Director of Finance in the achievement of The California Club’s goals and the maintenance of adequate internal controls over all areas of Club operations
  • Ensure timely completion of all reports generated by accounting staff.
  •  Enforces the maintenance of Club policies and procedures as they apply to the Club operation.
  • Provides guidance and supervision to all accounting employees. Recommends and provides necessary training for specific tasks to Accounting Staff.
  • Prepares month end closing and posts all journal entries.
  • Prepares month end labor Report.
  • Prepares all subsidiaries on the balance sheet.
  • Prepares and processes all member monthly ACH payments.
  • Prepares daily operational reports.
  • Relief payroll processing for a minimum of four times annually.
  • Manages members’ credits and adjustments and answers all emails to the accounting in box.
  • Submit change orders to the bank.
  • Prepares and orders office supplies.
  • Prepare all funding reports and make deposits to the bank.
  • Prepares audit schedules and coordinates with external and internal auditors in the completion of their field work. Assists the Director of Finance in the completion and implementation of all audit recommendations.
  • Initiates banking payments and is the second approval on the bank account.
  • Conducts monthly inventories at the direction of the Director of Finance.
  • Works in coordination with the Director of Membership to ensure proper controls of Membership data files and proper billing based on categories.
  • Maintain Licenses and permits for the Club, file the returns, and ensure timely payments.
  • Prepares and file taxes for Occupancy, Parking and Sales and Use.
  • Prepare reporting for 990 tax return for member and non-member revenue.
  • Responsible for Private Party Forms to ensure compliance with IRS tax filing.
  • Prepares 60-day 90-day reports.

Candidate Qualifications

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using other combinations of knowledge, skills, and abilities:

  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace.

  • Must be able to read and write to facilitate the communication process.

  • Requires effective communication skills, both verbal and written.

  • Must possess basic computer skills.

  • Knowledge of computer accounting programs.

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Abilities include being able to prepare reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups to managers, clients, customers, and ownership.

  • Ability to apply mathematical operations to such tasks as frequency distribution, analysis of variance, correlation techniques, sampling theory, and factor analysis.

  • Computer skills: proficiency in Microsoft Word, Microsoft Excel, Accounting Software’s, and other applicable computer systems.

  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

  • Working knowledge of federal, state, and local laws governing equal employment opportunity and civil rights, occupational safety and health, wage and hour issues, and labor relations, including, but not limited to the following statutes and their comparable state and local laws (where applicable): Title VII, ADEA, Equal Pay Act, Pregnancy Discrimination Act, FLSA, ADA, OSHA, FMLA, and NLRA

PHYSICAL DEMANDS

  • Able to work both indoors and outdoors. Temperature is moderate and controlled by California Club environmental systems unless it takes place in one of The California Club Outdoor Dining Areas, where temperatures are a product of the environment.
  • Must be able to sit at a desk for up to 5 hours per day. Able to work walking or standing during any working day. The length of time of these tasks may vary from day to day and task to task.
  • Position requires walking and giving directions during the working day. The length of time of these tasks may vary from day to day and task to task.
  • Must be able to bend, stoop, squat and stretch to fulfill occasional tasks.
  • Must be able to exert well-paced ability to maneuver between functions occurring simultaneously.
  • Must be able to lift to 15 lbs. occasionally.
  • Ability to lift trays of food or food items weighing up to 30 lbs. occasionally.
  • Must be able to push and pull carts and equipment weighing up to 250 lbs. occasionally.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening, and hearing ability and visual acuity.
  • Talking and hearing occur continuously in the process of communicating with members/guests, supervisors, and subordinates.
  • Vision occurs continuously with the most common visual functions being those of near vision and depth perception.
  • Requires manual dexterity to use and operate all necessary equipment.
  • Must have finger dexterity to be able to operate office equipment such as computers, printers, scanners, 10-key adding machine, electric typewriter, multi-line touch tone phone, filing cabinets, photocopiers, dolly, and other office equipment as needed.

Educational Requirements

Minimum of Five to 7 years in progressive accounting related experience, plus at least two years of experience in a similar capacity as assistant director or controller is preferred. Experience in Hotel/Club environment is a plus.
