Special Club Features

Responsible for the general operation of staff functions relating to food and beverage banquets, club events, youth and family activities, and general clubhouse operations.  Assist Dining Room Manager in the operations of a la carte dining and all staff training. Responsible for all aspects of the dining room in the absence of the Dining Room Manager and oversees clubhouse operations in the absence of the General Manager.  Performs specific tasks as requested by the General Manager.

• Maintains a welcoming and efficient club experience that fosters strong membership loyalty, use and retention.
• Helps members arrange banquets, meetings, receptions, parties, and other social events; obtains and distributes all pertinent information needed for function planning.
• Answers member’s calls on a timely basis.
• Works with club staff to publicize, promote and book the club’s dining, social and athletic facilities to all members and guests.
• Maintains club master calendar of events, social and sports activities, and room reservations.
• With the Dining Room Manager, hires, schedules, supervises and trains food and beverage staff.
• Acts as a role model and mentor for club staff.  With the Dining Room Manager, plans, coordinates and conducts training and professional development programs for clubhouse personnel.

• May recommend and engage bands, speakers, performers, photographers, cake designers, florists, and audio/visual equipment.
• Provides tours and offers suggestions in an effort to sell the merits of the club’s facilities to the members and guests.
• Works with the Chef to determine selling prices for all events. Suggests menus and helps members plan menus in conjunction with the Executive Chef and/or other culinary personnel.
• Works with the bartenders to maintain par levels for inventories and satellite bars.
• Takes monthly beverage inventories and assists General Manager with beverage ordering.
• Transmits necessary information to all department heads on a timely basis. This includes function sheets and weekly activity calendars.
• Inspects finished arrangements; greets the host/hostess to the party and is present to oversee the actual greeting and serving of guests.
• Attends weekly Clubhouse staff meetings to review upcoming planned functions.
• Compiles all charges according to contracted services for accounting department.  Administers function follow-up activities including thank you notes, member satisfaction surveys. Maintains past and potential member files, schedules and calls/visits to assess on-going needs of prospective member clients for catering services.
• Helps develop catering sales budgets, review financial reports and takes corrective actions as appropriate.
• Assists the General Manager in developing and implementing long-range and annual plans, operating reports, forecasts and budgets.
• With the General Manager, is responsible for oversight, preparation and editing various club communications to the membership, including the newsletter, website, email notices and flyers.

Educational Requirements

A degree in hospitality management or extensive previous experience in club, hotel, restaurant or catering is strongly preferred for this position.
