Membership and Marketing Coordinator- Country Club

The Membership and Marketing Coordinator will assist the Director of Marketing and Membership with day to day administration functions and frequent interaction with the membership. Monday-Friday 8am-4:30pm 

Essential Functions

  • Responsible for the day to day administration of membership and marketing paperwork and documentation.
  • Assist in the coordination of the Summer Member Program.
  • Maintain all member packages.
  • Interface with the real estate team as needed to support new members.
  • Maintain current membership files, requests, and other membership notices/requirements.
  • Processing prospective member applications (credit/background check/packets).
  • Assisting with preparation of amendments to Club Bylaws.
  • Follows-up on marketing efforts and member referrals as needed.
  • Assist with the creation of marketing and membership reports.
  • Effectively respond to member comments in accordance with Club standards.
  • Provide ideas, feedback, and suggestions to continuously improve the services provided to members.
  • Maintain response, attendance, and follow-up lists for membership and marketing events.
  • Work collaboratively with all POA/Realty management, Boards, and members.
  • Work with external vendor relationships.
  • Prepare items for required membership meetings.
  • Participate in assigned Board and Committee meetings; must be proficient at drafting minutes as assigned.
  • Follow all membership applicable local, state, and federal laws.
  • Perform/present membership orientations.
  • Coordinate and plan membership activities and/or functions for the Director.
  • Prepare invitations, agendas, and correspondence as needed.
  • Perform new/prospect membership amenity/facility tours.
  • Perform any other tasks as assigned by management.

Knowledge, skills and abilities

  • Must have excellent computer skills, including extensive use of Microsoft Office programs, Windows, Internet, Adobe Acrobat, and basic database and Customer Relationship Management (CRM) applications required; experience with graphic design software such as InDesign or Photoshop helpful; and related database knowledge expected.
  • Must have knowledge of commonly used concepts, practices, and procedures within a country club.
  • Efficiently handle multiple calls to customers, members/subscribers, vendors and the general public.
  • Respond to member inquiries in a courteous and friendly manner.
  • Must possess excellent interpersonal and conflict resolution skills.
  • Must possess excellent written and verbal communication skills.
  • Must possess excellent organizational skills and coordinate and complete tasks with limited supervision.
  • Must be a detail-oriented individual and possess time management skills.
  • Must maintain high performance standards.
  • Simple computational skills (Add, Subtract, Multiply, Divide, Percent's)
  • Fluent reading and writing in English with the ability to recognize signs and symbols.
  • Ability to deal with routine changes often.
  • Ability to deal effectively and tactfully with all employees, management and members.
  • Ability to work in a fast paced environment.

Education and experience

  • High School Diploma or equivalent required.
  • Bachelor's Degree preferred, preferred major in Hospitality or Marketing management.
