Health & Safety Policy for All Participants

Vaccination Policy

Effective January 1, 2022, all participants at CMAA nationally hosted events, including the 2022 World Conference and Club Business Expo in San Diego, CA, must be fully vaccinated. Coupled with the existing mask policy and other proactive measures, the CMAA Board of Directors seeks to make our events as productive, interactive, and safe as possible by requiring vaccinations for entry. This policy is congruent with the requirements mandated by the state of California for all indoor events exceeding 500 attendees.

The policy will be applicable for all individuals in attendance to include CMAA members, non-members, significant others and/or guests (regardless of age), students, partners, speakers, exhibitors, vendors, and national staff.

All participants will be required to provide proof of their full COVID-19 vaccinated status to gain access to the event. Full vaccinated status is considered achieved when two weeks have passed since a person received a single-shot vaccine or the second dose of a two-shot vaccine. Permissible vaccines are those approved by the World Health Organization (WHO).

Please note: In accordance with California state regulations, the CMAA event vaccine requirement does not allow for the substitution of a COVID-19 antibody test in lieu of the vaccine. 

How to Provide Proof of Vaccination
  • After registration, vaccination verification will be completed in cooperation with 42*Chat (HealthShield).
  • Registrants will receive a text message from 42*Chat to complete the verification process. These text messages are sent weekly on Mondays.
  • If you have not received a text message, using your mobile phone, text UPLOAD to 855-537-0343 to begin the automated verification process.
  • Please bring your proof of vaccination verification from 42*Chat and a photo ID to enter the San Diego Convention Center and access the registration area for badge pickup.
To Apply for an Accommodation Request
  • Registrants who are unable to receive the vaccine may submit an accommodation request and will be subject to alternative testing requirements. 
  • Accepted accommodation requests are:
    • Disability and Health-Based accommodation requests
    • Sincerely Held Religious Belief-Based accommodation requests
  • To request an exemption, submit the Accommodation Request form along with the requested documentation. Requests will be processed in seven to ten business days.
  • Individual registrants who are granted an exemption must provide a negative PCR test no more than 48 hours prior to the start of the event on Saturday, February 19. (Additional details will be provided on how to submit the PCR tests.)

If a registrant does not satisfy the above requirements in advance of the World Conference, they will not be permitted to enter the event. 

Masks and On-Site Measures

CMAA will adhere to all local regulations and guidance from the Centers for Disease Control and Prevention (CDC) for our events. 

CMAA has mandated the use of masks in all indoor settings, regardless of an individual’s vaccination status. Attendees should be prepared to comply with the indoor mask mandate.

All attendees should stay home if they have tested positive for COVID-19, are waiting for their COVID-19 test results, have COVID-19 symptoms or begin to manifest symptoms during the event, or have been in close contact with a person who has tested positive for or who has symptoms of COVID-19.

Additionally, CMAA recommends all attendees and staff comply with travel guidelines issued by the CDC when traveling to/from the San Diego, CA, area.

During the event, all attendees should abide by and engage in appropriate health and safety conduct including, but not limited to:

  • All participants must wear a mask, except when actively eating or drinking.
  • All masks must fit properly and snuggly, fully covering the nose and mouth, and secure under the chin.
  • Be respectful of other participants’ personal space and utilize physical distancing as appropriate.
  • Engage in appropriate hand hygiene with regular hand washing or use of hand sanitizer.
  • Practice respiratory etiquette (sneezing or coughing into your elbow).
  • Please remain in your hotel room if you are feeling ill or experiencing symptoms while on site at the event.
  • Notify event organizers immediately if you develop symptoms consistent with COVID-19, such as fever, cough, or shortness of breath.
  • Following the World Conference, please notify CMAA if you test positive for COVID-19 up to 14 days after returning home.
Liability and Assumed Risk

Attendees assume all risks and accepts sole responsibility for any injury (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that attendee may experience or incur in connection with attending the World Conference. By registering for the event, attendee hereby releases, covenants not to sue, discharges, and holds harmless CMAA, its employees, agents, and representatives, of and from any such claims, including all liabilities, claims, actions, damages, costs, or expenses of any kind arising out of or relating thereto.

Specifically relating to the global COVID-19 pandemic, attendee acknowledges the highly contagious nature of COVID-19 and voluntarily assumes the risk of exposure or infection by attending the World Conference, and that such exposure or infection may result in personal injury, illness, disability, and/or death to attendee. Attendee understands that the risk of becoming exposed to or infected by COVID-19 at the World Conference may result from the actions, omissions, or negligence of others who may attend the event or their families, colleagues, or others with whom they may have contact. Accordingly, attendee understands and agrees that this release includes any claims based on the actions, omissions, or negligence of CMAA, its employees, agents, and representatives, whether a COVID-19 infection occurs before, during, or after participation in the World Conference.

Any changes to these policies will be communicated promptly to all registrants.

Cancellation Policy

Cancellation of Full, Education-Only, Retired, Student, and Chapter Managing Director registrations will be accepted until January 24, 2022, with no penalty.

A refund of conference fees—minus a 25 percent penalty—will be given for cancellations received between January 25–February 1, 2022.

No refunds will be granted for requests received after February 1, 2022.

CMAA reserves the right to assess a $50 penalty if request are made to change to a lesser registration category.

All registration cancellations and refund requests must be made in writing and submitted online to the CMAA Registration team.

Cancellations due to extenuating circumstances (i.e., death, accident, serious illness) must include appropriate documentation and are subject to verification, and must be received by CMAA prior to the start of the event. CMAA will not issue refunds for no-shows.

No refunds will be issued for the following registration categories: Business Access, Faculty, or Single Day Education.


Conduct Policy

CMAA is dedicated to providing a safe, hospitable, inclusive, and productive environment for all participants at CMAA Events. CMAA has established minimum expectations of behavior for participants at all CMAA. Please review the policy. It is intended to supplement any other applicable CMAA policies, including the CMAA Code of Conduct and Ethics


Zero Tolerance Policy

CMAA sanctions a zero-tolerance standard regarding the use of alcohol by CMAA student members at any CMAA national or Chapter social/networking or professional development event/meeting/conference. Alcoholic beverages may not be served to, purchased for, or consumed by current CMAA student members at a CMAA-related event. Student members who are 21 years of age or older are not exempt from this policy. Students may be asked to wear their attendee badges, a wristband, or some other identifiable item to ensure that this zero-tolerance standard is upheld.

In no event shall alcoholic beverages be served to, purchased for, or consumed by any individual under 21 years of age at a CMAA-related function.

All Education and the Opening and Closing Business Sessions will be Business Casual (no jackets required).

The Networking Event will be resort casual. The event will be a mix of indoor and outdoor spaces so dress for your comfort.

Club Management Institute (CMI) credits are awarded via verified attendance. At the end of each session, your presenter will share a keyword. Make note of this keyword.

To claim credits for a session:

  • Find the session that you attend on the schedule within the event App.
  • Locate the section titled “Surveys” under the speaker’s picture.
  • Click on the survey and complete the short questions asking feedback on the session and presenter(s) of the session and the keyword given at the session.
  • You will only have 48 hours after each session to claim your credits for a session. Please enter your request shortly after the session.
  • That’s all that you will need to do. The app will know who you are and report your member number back to CMAA. Shortly after Conference, the Professional Development will post the credits to your record and attendees will be notified.

To earn the most credits at Conference, follow these three steps:

  • Register for a Full Member Registration. This registration category earns 12 Association Activity Credits, the most of any category.
  • Attend all scheduled sessions of education and earn up to 21.5 Club Management Institute (CMI) Education Credits.
  • Complete your session evaluation survey correctly on the event App.

In advance, listen to the January and February editions of the Let’s Talk Club Management podcast for insider tips. On site, plan to arrive in time to attend the First-Time Conference Attendee Gathering on Saturday, February 19, at 10:00 a.m. where you will network with other first-timers and hear directly from CMAA’s Board and Conference team.

  • Communications, including on-site schedule changes, will be communicated via the Conference Events App. Make sure your in-App notifications are turned on for the latest breaking news and schedule changes.
  • Daily news will be distributed each morning at 6:00 a.m. PT via email through the Conference Daily.

  • The Club Foundation: Volunteer today for the Golf Tournament, the ClubLove Fun Run/Walk, or the After Dark event.
  • Speaker Introductions: The Education Department relies on the kindness of volunteers to introduce the session speakers. Please consider introducing one or more sessions. The process is simple. First, visit the Volunteer Page and look for the sessions that you are planning to attend. If you see a session that you would like to introduce, you just need to click on the “click here to reserve” link and enter your information. You will be sent a confirmation email with the session date, time and room location listed. Once on site, stop by the Member Services Pavilion about 15 minutes prior to the session and a member of the Education Department team will give you the introduction text. Each introduction takes about three minutes.
  • Voting: Our Members are vital to the elections process and we are looking for a few good people to assist with CMAA’s on-site voting in San Diego, CA. Contact Kim Pasquale, CMAA's Senior Vice President of Member Engagement for more information!
